How to Add an Email Signature in Gmail

Gmail signatures are set from the settings menu, not the compose window. Once you have your signature ready, adding it takes six steps.

  1. Build your signature with the Mail Ink editor, save it, and click Copy to clipboard on the install screen.
  2. Go to mail.google.com.
  3. In the top right corner, click the gear icon, then See all settings.
  4. Under General, find the Signature section, click + Create new, and give it a name.
  5. Paste your signature into the text area (Ctrl+V or Cmd+V).
  6. Scroll down and click Save Changes. Done!

On the Gmail mobile app

  1. Open the Gmail app on your phone and tap the menu icon (☰) in the top left.
  2. Scroll down and tap Settings.
  3. Tap the email account you want to add a signature to.
  4. Tap Mobile Signature.
  5. Type your signature and tap the checkmark (or back arrow) to save.

Note: The mobile signature field only accepts plain text - logos, colors, and links from your desktop signature won't carry over. Menu names may vary slightly between Android and iOS versions.

Frequently asked questions

You likely used "Paste as plain text" (Ctrl+Shift+V / Cmd+Shift+V), which strips fonts, colors, and images. Click inside the signature box and paste again with a regular Ctrl+V or Cmd+V.

Yes. If you send from multiple addresses ("Send mail as"), go to Settings > General > Signature and pick a separate signature for each address in the "FOR" dropdown above the editor.

Only if you set it to. In Settings > General, under Signature defaults, set your signature for both "For new emails use" and "On reply/forward use" - by default only new emails are covered.

The Gmail app keeps a separate "Mobile Signature" from the desktop one. Add it there too - see the mobile app steps above.

Images need to be hosted online, not pasted as local files - otherwise they only display on your own screen. Signatures built in the Mail Ink editor host images automatically, so this isn't an issue if you paste the generated signature as-is.
