How to Add an Email Signature in Apple Mail

Apple Mail signatures live in its Signatures settings, and there's one setting worth turning off before you paste.

  1. Build your signature with the Mail Ink editor, save it, and click Copy to clipboard on the install screen.
  2. Open Apple Mail, choose Mail > Settings (or Preferences) > Signatures.
  3. Add a new signature by clicking the + button and give it a name.
  4. Uncheck Always match my default message font.
  5. Paste the signature into the signature box (Ctrl+V or Cmd+V).
  6. Close the settings window. Done!

Note: Use Firefox or Chrome (not Safari) when copying your signature to keep the formatting intact. If it looks wrong right after pasting, don't worry - compose a new email and it will display correctly.

Frequently asked questions

Check that "Always match my default message font" is unchecked in Signatures settings before pasting - if it's on, Apple Mail overrides your signature's fonts and colors with the default compose font.

Yes. In Signatures settings, select the account in the left sidebar before creating or choosing a signature - each account can have its own.

This is a known Apple Mail preview quirk - the Signatures window doesn't always render pasted HTML correctly. Close Settings and compose a new email; the signature displays correctly there.

By default Apple Mail uses the same signature everywhere unless you set it to "None" or pick a specific one per account - there's no separate reply/forward toggle like Gmail or Outlook have.
