Zoho Mail gives you more signature control than most webmail clients — multiple signatures, per-address assignment, and control over where the signature sits relative to quoted text.
This guide covers the full setup, image handling, and the settings that solve the most common complaints.
Everything below happens on this page. If you are on a Zoho Workplace account managed by an administrator, some options may be restricted at the organisation level.
When pasting from another source, paste the rendered signature rather than raw HTML. Copy it from a preview so the editor receives formatting, not code.
Use the image control in the editor toolbar. Reference images by full https:// URL wherever possible — a hosted image keeps the signature light and lets you update the graphic later without editing every signature.
Set the display size to what you actually want and export the source file at twice that, so it stays sharp on high-density screens. Details in our guide to blurry logos.
This is where Zoho is genuinely useful. Each signature can be associated with a specific sending address, so the right one is inserted automatically based on the address you send from.
If you have aliases — a personal address and a shared one such as support or sales — give each its own signature. Zoho picks the correct one when you change the From field, with no manual switching.
By default many clients drop the signature below the entire quoted thread, where nobody sees it. Zoho offers an option controlling whether the signature is placed above the quoted text on replies and forwards.
Turn it on. Your signature belongs directly beneath what you wrote, not at the bottom of a forty-message chain. If replies are not showing a signature at all, our guide to signatures missing on replies covers the wider problem.
The Zoho Mail mobile app carries its own signature setting, separate from the web interface. Changing one does not change the other.
As with every mobile client, keep the phone version short and text-based. A full branded signature composed on a phone rarely survives intact.
Zoho’s editor is fine for text but limited for layout. Build the signature in the Mail Ink generator, then paste the result into Zoho — and into every other client you use, so the whole team looks the same regardless of what they send from.
